Instructions of the building authorities and the fire brigade for constructing and operating trade fair stands

1. Stand furnishing

  • Stands in the halls may be furnished only with non-flammable or flame resistant materials or materials that have been made flame resistant insofar as further requirements are not made in the building approval.
  • Any decoration materials used – such as plastic plants, artificial flowers, decorative vine leaves, materials (e.g. cloth and netting) – must be proved to be flame resistant in accordance with DIN 4102.
  • Decoration materials made, amongst others, of paper, cardboard, wood chips or wood-wool, fabrics and especially plastics must not be used unless they have an adequate testing certificate or they have been equipped with a certified fireproof impregnation.

    The following arrangements must not be used: arrangements consisting of plant elements such as twigs, branches or trees from natural leafy or coniferous plants, dry flowers and straw materials and similar materials, as well as flower arrangements made of plant elements unless they are kept wet.

    Leafy or coniferous plants are allowed provided they have moist, potted roots.

    The use of hay, straw (bales), peat, tree bark and similar highly combustible materials for decorative purposes is not permitted.
  • Please note that non-absorbent materials such as decoration elements made of hard or soft plastics with a closed surface (imitations of plants, flowers, fruits or vegetables etc.) cannot be impregnated afterwards and must therefore not be used.
  • If you require decoration materials to be fire-proof impregnated at the stand, please contact the company that provides such services.

  • Plastic cable ties for the fixing of lighting elements are inadmissible.

2. Naked flames

It is forbidden, to use naked flames and to burn packing material, waste etc. in the halls or on the open-air site.

3. Propane, butane and similar gas containers

It is not permitted to set up and use propane, butane or similar gas containers. If this regulation is not complied with, the trade fair/exhibition management is authorised to have the equipment removed at the cost of the exhibitor and if necessary to have the stand closed for safety reasons.

4. Gas, ethyl alcohol, mineral oils

It is not permitted to use gas, petrol, paraffin or any other flammable liquids for cooking, heating or operating machinery etc.

5. Safety installations

Exits, in particular emergency exits, fire protection equipment and other safety installations as well as their corresponding signs must always be kept accessible and visible. Stands or exhibits must not be placed so as to hide or cover them. This also applies to the accessibility of plant rooms.

6. Flammable materials

Flammable materials and waste that are no longer required must be taken immediately to the proper disposal places. Storing such material in the stands or at other places in halls is not allowed; this also refers to packing materials and other empty containers.

7. Cotton waste, oily and greasy cloths

Cotton waste as well as oily and greasy cleaning cloths must be kept in tightly closed and non-flammable containers with a self-sealing lid.

8. Noise Level

When exhibition goods that create noise are demonstrated, the noise level at the stand boundary must not exceed 65 dBA.

9. Fire fighting equipment

Clear access must be maintained to hand fire extinguishers, fire alarms, hydrants, butterfly dampers and all ancillary devices as well as to the associated warning signs.

10. Instructions

The trade supervisory office, municipal authorities, police and the fire brigade as well as representatives of the trade fair/exhibition management are authorised to give instructions relating to safety regulations. Their representatives must be provided access to safety equipment and technical installations at any time.

Instructions for exhibitors and stand construction companies

  • Vehicular access into the halls is only allowed for loading and unloading purposes.
  • Also during the construction and dismantling periods hall aisles must be kept clear to serve as rescue routes. Storage of material for stand construction, empties and exhibits in the aisles is therefore not permitted.
  • The use of wood working machines is only allowed, if they are equipped with all mandatory protective devices as well as with exhausters and collection devices for sawdust and wood chips.
  • The use of powder-actuated tools and paint spraying guns as well as of NC lacquers is not permitted.
  • The drilling of holes in hall floors is subject to a fee and the hall inspectors must be notified of the drilling in advance. Inserted heavy load anchors, screws or bolts must be immediately removed by the exhibitor or the stand constructor upon dismantling of stands.
  • It is not allowed to fix any stand structures and exhibits to hall walls, ceilings, roofs, supports, piping etc. or to paint, wallpaper or stick things to these parts of the halls.
  • The cleaning of painting tools is only permitted in special rooms provided for the cleaning of paint brushes. Cleaning painting tools in the sanitary facilities is prohibited. In halls 22 and 24 no special rooms for the cleaning of paint brushes are available.
    In these cases, please contact the hall inspectors.
  • Substances that are harmful to health or water e.g. oils, paints and emulsions must not be disposed of in the sewerage system. For smaller quantities of these hazardous wastes there are marked containers outside the halls.
  • The exhibitor or the stand construction company is responsible for the cleaning of the stand and for waste disposal. Please separate the waste into recyclable and non-recyclable material.

  • The stand area must be handed back in clean condition by the end of the dismantling period. Tape, paint etc. must be completely removed. On request the hall inspector will, after joint inspection, confirm in writing that the stand was handed back in good condition.

Instructions for exhibitors and stand construction companies for self-installation of electrical equipment

Please pay careful attention to the following instructions regarding electrical installations.

In accordance with section 5.5.2 of the Technical Regulations of Fachausstellungen Heckmann GmbH, which are valid at the fairgrounds, exhibitors can either carry out electrical installations on their stands themselves or outsource this work to external specialist companies.
In both cases, installation has to be realised in accordance with valid VDE regulations and the technical requirements of the electricity company.
Please observe the conditions of the contract and the order forms of the hall electricians.

The exhibition hall electricians carry out visual inspections as part of their contractual duties. The safety-relevant instructions of the hall electricians must be observed.
The electrical supply of stands can only be used after any detected defects have been eliminated or, if applicable, after a final inspection, which is subject to a fee.

Basic information about electrical installations:

When installing electrical equipment and lighting always ensure

  • that wires are inserted into devices or lamps correctly and are secured via a strain relief mechanism.
    Wires without protective sheathing or insulation are not permitted.
  • that the lamps are complete and undamaged. Broken or damaged cable connections are not permitted.
  • that lamps are fixed with non-flammable, non-positive fasteners to supporting components (e.g. standard connections to conductor rails, clamp fixings).
    Cable ties or adhesive tape are not permitted for load-carrying fixings.
  • Metallic crossbeams to which conductor rails or lighting gear are mounted must always be grounded.
  • Flexible cables (including flat cables) must not be installed underneath floor coverings also on the ground floor, unless they have been sufficiently protected against mechanical loads.
  • Please note that these instructions are for your own safety and for the safety of the people who visit your stand. Please notify the respective hall electricians in sufficient time if you are going to carry out self-installation.
